1. Acceptance of Terms

By accessing or using PolicyPilot ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service. These terms apply to all users, including agencies, agents, and administrators.

2. Description of Service

PolicyPilot is a cloud-based CRM platform designed for insurance agencies. The Service includes lead management, pipeline tracking, multi-channel communication (email, SMS, Facebook Messenger), team collaboration tools, and AI-powered automation features.

3. Account Registration

To use the Service, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use.

4. Subscription and Billing

PolicyPilot offers paid subscription plans (Starter, Pro, and Agency) billed monthly. All plans include a 7-day free trial. After the trial period, your chosen plan will be charged automatically unless cancelled. Prices are subject to change with 30 days' notice.

Refunds are provided at our discretion. Cancellations take effect at the end of the current billing period. We do not provide prorated refunds for partial months.

5. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable laws or regulations
  • Send unsolicited communications (spam)
  • Transmit malicious code or interfere with the platform's operation
  • Collect or harvest user data without consent
  • Impersonate any person or entity
  • Engage in any activity that could damage PolicyPilot's reputation

6. Data Ownership

You retain full ownership of all data you input into PolicyPilot, including lead information, communications, and documents. By using the Service, you grant PolicyPilot a limited license to process this data solely to provide the Service.

7. Intellectual Property

The Service, including its software, design, and content, is owned by PolicyPilot and protected by intellectual property laws. You may not copy, modify, distribute, or reverse-engineer any part of the Service without our express written permission.

8. Third-Party Integrations

The Service integrates with third-party platforms including Stripe and Facebook. Your use of these integrations is subject to their respective terms of service. PolicyPilot is not responsible for the availability or conduct of third-party services.

9. Limitation of Liability

To the maximum extent permitted by law, PolicyPilot shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.

10. Termination

We reserve the right to suspend or terminate your account at any time for violation of these Terms. Upon termination, your right to use the Service will cease immediately. You may export your data within 30 days of termination.

11. Changes to Terms

We may modify these Terms at any time. We will provide at least 14 days' notice of material changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance.

12. Governing Law

These Terms shall be governed by the laws of the State of Florida, United States, without regard to conflict of law principles.
